Childcare Terms & Conditions

Welcome to Bee Active Childcare! Before you can enrol your child in our childcare services, we require that you accept our terms and conditions. Please read the following carefully.

Services

Bee Active Childcare agrees to provide quality care and supervision for the child/children of the Parents, as well as opportunities for learning and development in accordance with the early years foundation stage ( EYFS) and OFSTED’s Statutory Framework. This includes but is not limited to:

  1. Providing a safe and stimulating environment for the child/children to play and learn.
  2. Providing a range of activities and resources that promote the child’s physical, intellectual, emotional and social development, in line with the EYFS.
  3. Ensuring that all children are treated equally, regardless of race, culture, gender or ability.
  4. Maintaining open communication with Parents to ensure that their child’s individual needs are met.
  5. Providing healthy meals and snacks that meet the child’s dietary requirements and preferences.
  6. Providing regular updates and feedback to Parents about their child’s progress and development.

The EYFS is divided into 7 areas of learning and development, which are:

  • Communication and Language
  • Physical Development
  • Personal, Social and Emotional Development
  • Literacy
  • Mathematics
  • Understanding the World
  • Expressive Arts and Design

Bee Active Childcare will provide activities and resources that are appropriate for each of these areas of learning and development, working with the child to ensure that they are making progress in each area.

OFSTED’s Statutory Framework sets out the legal requirements that all childcare providers in England must follow. The childcare provider will ensure that they comply with all relevant requirements, including those relating to:

  1. Learning and development
  2. Assessment
  3. Safeguarding and welfare

Opening times

At Bee Active Childcare, our settings are open from Monday to Friday, 7:30am to 5:30pm, except on bank and public holidays. Bee Active Childcare is closed during the Christmas and New Year period for a brief shut down. You can view and download our annual calendar from our website or through the Famly app after you have been set up. This will help you plan ahead and be aware of any upcoming holidays or closures.

Bank and public holidays

Fees will not be charged for bank and public holidays when the setting is closed. If your child’s regular scheduled day falls on a bank or public holiday, you will not be charged for that day. We will provide you with a list of scheduled closures and bank/public holidays in advance via the Famly app so that you can plan accordingly.

Sessions

Parents have the flexibility to drop off and pick up their child within the session time booked. To ensure the safety and well-being of all children in our care, we require that all sessions be booked in advance. Unfortunately, we are unable to accommodate last-minute drop-off requests without prior notification.

Bee Active Childcare offers four fixed session times to choose from, each designed to fit different schedules and needs:

  • The morning session runs from 7:30 am to 12:30 pm, providing five hours of care.
  • The afternoon session runs from 12:30 pm to 5:30 pm, also providing five hours of care.
  • The school day session runs from 7:30 am to 3:00 pm, offering seven and a half hours of care to align with the typical school day.
  • The full-day session runs from 7:30 am to 5:30 pm, providing ten hours of care for Parents who require extended hours.

Contract types

Bee Active Childcare offers three contract types to suit the varying needs of Parents:

  • Full Time (circa 51 weeks per year): Childcare is provided year-round, including school holidays. This option enables children to make the most progress.
  • Term Time (38 weeks per year): Childcare is provided during the school term, but not during holidays.
  • Flexi: Parents can request childcare sessions in advance, without committing to a set schedule. Bee Active Childcare will do its best to accommodate all requests, subject to availability. Please note that there may be times when we are unable to facilitate a request for childcare with this contract type. We are also unable to provide government funding to flexi contracts.

Multiple contracts

Parents typically choose the contract option that best meets their needs. However, some Parents may require different contract options and sessions on different days. In such cases, the Parent can opt for multiple plans that will run concurrently. For instance, a Parent may choose a full-time – 51-week contract for a ‘school day’ on Mondays and a term time – 38-week contract for a ‘full day’ on Tuesdays. This means that the Parent will have multiple contracts running at the same time.

Childcare fees

Our fees can be requested at any time or a copy can be obtained from the setting or our website. Bee Active Childcare usually reviews childcare fees and other costs annually, with any price changes typically coming into effect on the 1st of April.

Bee Active Childcare will inform customers of any price increases no less than 30 days before they come into effect. Please note that sessions are priced as a single event and will be chargeable no matter how much of the childcare session is used or not used by a customer. Unfortunately, we are unable to offer a reduced price for a part of a session. We may offer discounts such as sibling discount or a full week discount on our fees.

Minimum childcare hours

To ensure we can provide consistent and reliable childcare for all families, we require a minimum booking of 570 hours per year. This equates to 15 hours per week for term-time contracts. You have the flexibility to choose from a variety of session combinations, including three morning or afternoon sessions, one morning or afternoon session and one full day session, or two school day sessions. Please note that this minimum requirement helps us maintain our high standard of care and service for all families.

Minimum childcare hours for flexi or multiple contracts

The Flexi contract option offers a convenient solution for Parents who require flexibility due to their changing circumstances and are unable to commit to a regular weekly schedule of days and sessions. To ensure consistency and fairness, Parents must book a minimum of 570 hours of childcare per year, which averages out to a minimum of 47.5 hours per month.

Our team will monitor bookings to ensure that this requirement is met, and if it is not, we will inform Parents accordingly. In the unfortunate event that Parents are unable to meet the minimum childcare hours, we may need to terminate the contract.

If a parent has multiple contracts running, the average of their childcare must be at least the equivalent of the minimum stipulated childcare hours required.

Alternating or extended shift workers

For Parents who work alternating or extended shift patterns, such as one week of nights and one week of days, or patterns that differ from week to week, we may be able to meet your childcare needs. However, this is subject to availability and your average weekly hours must still be no less than 15 hours per week. To ensure we can accommodate your requirements, you will need to provide us with your shift pattern in advance, and we will incorporate the days and sessions required into your term time or full-time contract. All terms and conditions of the contract will remain the same.

Cooling off period

Following the commencement date of any childcare contract with Bee Active Childcare, a cooling-off period of 14 days is granted to Parents. During this time, if you decide not to continue with the agreement, you are entitled to withdraw from the contract without penalty and obtain a full refund of any deposit amount paid. However, any childcare and other charges that have been received by the customer within the cooling-off period will remain chargeable. For instructions on how to notify us of your termination request, please refer to the information below.

Contract duration

We require a minimum contract duration of 6 months from the childcare start date. The childcare start date will be deemed the first day that the childcare was received (which does not include any settling-in sessions).  This duration is referred to as the initial period. If, within the initial period, Parents decide to terminate a full-time or term-time contract, the deposit will be non-refundable.

Termination

Either party may terminate this Agreement upon giving thirty (30) days notice in writing to the other party.

Termination by Parents: Notice must be served in writing via email to early-years@beeactive.co.uk or through the Famly app messaging system stating the reason for termination and the date you wish for your childcare to cease.

If the Parent terminates this Agreement before the end of the Initial Term or without providing the required notice period, the Parent shall be liable to pay Bee Active Childcare the equivalent of four weeks’ fees as liquidated damages.

Termination by Bee Active Childcare: Bee Active Childcare may terminate this contract immediately with written notice to the Parent in case of non-payment of fees, repeated breach of contract terms, or any other serious violation of the terms of this contract. We reserve the right to terminate this contract immediately in case of any threat to the safety or well-being of the child, other children or our staff. We would refund the Parent any fees paid for but not yet rendered in this instance.

Non-Transferability of Contract: The Parent acknowledges that this contract is non-transferable, and the services provided are only for the child named in the contract. The Parent may not transfer any part or the entirety of this contract to other families or children.

Making permanent changes to your contract and sessions

If you wish to make permanent changes to your contract or sessions, please notify a member of our team as soon as possible to discuss your needs. The following options are available to you:

  • Keeping your sessions the same but changing from a term time contract to a full-time contract: Simply inform us of the date on which you want the changes to take effect. The Initial Period will remain unchanged.
  • Removing sessions from your contract and reducing the amount of childcare (including moving from a full-time contract to a term time contract): To make changes outside of the Initial Period, you must provide a 30-day notice period. If you wish to proceed with changes within the initial period, your deposit will be non-refundable.
  • Adding new sessions while keeping your current contract and sessions the same: You need to inform us of the start date for the new sessions. Our team will accept additional sessions subject to availability, new sessions will not require to begin a new Initial Period and will be bolted onto the existing booking.
  • Changing the days of your current sessions while keeping the same number and type of sessions: You need to inform us of the session changes and the date on which you want the changes to take effect. Changes to sessions will be accepted by our team subject to availability.

Holidays and other events

If you wish to make temporary changes to your contracted sessions, days, or times, we will try our best to work with you to accommodate and help where we can. Parents should provide us with at least 4 weeks’ notice of any changes so that we can make appropriate arrangements for staffing and resources.

Please note that any changes are subject to availability and should be on a like-for-like session basis. We will do our best to work with you to find a solution if it is possible but are not obliged to do so. We will not offer credit, a refund or any other guarantees if we are unable to accommodate alternative arrangements for your child. Parents will still be required to pay fees when they are absent as per the sickness and absence policy.

Please also note that any temporary changes are limited to a maximum duration of 2 weeks per year and should be incidental rather than regular occurrences, such as for annual holiday purposes.

Purchasing an ad-hoc session

If you need extra childcare beyond what is already included in your plan, we’ll do our best to help. You can request an additional session through the Famly app and we’ll review it as soon as possible. Bee Active Childcare may accept, decline or suggest alternatives. To improve the chances of your request being accepted, please give us as much notice as possible.

To add an ad-hoc session purchase through the Famly app, please follow these steps:

  1. Open the Famly app on your device.
  2. Go to the “Schedule” section of the app.
  3. Choose the date and time of the session you would like to purchase.
  4. Click “Add session” or the plus (+) button on the screen.
  5. Select “Purchase ad-hoc session” from the options that appear.
  6. Fill out the details of the session, and any other relevant information.
  7. Submit the purchase request by clicking “Send”.

Remember, the more notice you can provide, the better the chance we have of accommodating your request. The session will not be booked until it has been approved by a member of the Bee  Active Childcare team, you will receive an email notification once your purchase request has been accepted.

Extending a session

On occasion, you may wish to prolong your session from a morning or afternoon session to a school day or a full-day session. In such instances, you must notify us in advance with the details of the session/s that you wish to extend.

For full-time or term time-only agreements, where feasible, our staff will append the new session to your plan for the days and times you need the extension and credit an amount equal to the original session value that you are extending. If we are unable to accommodate your session extension request, we will inform you as soon as possible.

Cancellation terms and conditions for flexi contract session bookings and ad-hoc sessions

Parents who make regular or ad-hoc bookings on a flexi-contract basis agree to be bound by the following cancellation charges:

  • Cancellations made more than 7 days before the start time of the session will result in a 50% charge of the session fee.
  • Cancellations made within 7 days of the start time of the session will result in the full session fee being charged.

Please note that these cancellation charges apply to all bookings made on a flexi contract basis and that the charges are necessary to cover our staffing and resource costs. Bee Active Childcare appreciates your understanding in this matter.

Payments and invoicing

All invoices will be issued through the Famly app, and Parents will receive email notifications when an invoice is issued. It is the Parent’s responsibility to inform us of who the bill payers are and to keep their contact details up-to-date in the Famly app. If a childcare bill is being paid for by multiple contacts, we should be informed as to how the bill should be split.

For full time and term time contracts, invoices will be sent to Parents on the 1st of each month for the actual childcare forecasted in the month ahead based on the agreed schedule. Payment will be due before the 15th day of the month.

If a child’s start date is part way through the month, the Parents will receive an invoice on the child’s start date for the forecasted childcare from the start date to the end of the month. Payment for this invoice will be due before the last day of the month. Subsequent invoices will be issued on the 1st of each month following the start date, as per the billing cycle outlined in this agreement.

Invoices will be based on the actual childcare that is due to be provided within the month. For term-time contracts, the monthly amount may fluctuate depending on the school holidays and the number of open days in a given month. Bee Active Childcare understands that budgeting and planning for childcare expenses can be a challenge, especially when there are fluctuations in the monthly amount due to school holidays and open days. Therefore, we kindly advise Parents to take these factors into consideration when budgeting and planning their finances.

For any ad hoc childcare session purchases (for all contract types) or surcharges purchased within the month, a second round of invoices will be sent on the last day of the month with payment due within 7 days. If no additional purchases are made, the customer will not receive a second invoice.

In case of accidental mistakes or omissions in regard to fees, Bee Active Childcare reserves the right to charge customers. If you notice a mistake or wish to dispute an invoice, please contact our team as soon as possible. You will have 14 days from the date the invoice is issued to raise any concerns or disputes. Our team will investigate and resolve the dispute as quickly as possible, and we will keep you informed throughout the process. If any adjustments are needed to your invoice, we will issue a corrected invoice with the updated information. Bee Active Childcare appreciates your cooperation in resolving any issues and ensuring that payments are made accurately and on time.

In case of overpayments made in error by the customer to Bee Active Childcare, we will refund all overpayments within 3-5 working days from the date of notification or offer the customer credit on account against any future childcare invoices.

Please note that we only accept card payments, BACS transfers, childcare vouchers or childcare account payments. Bee Active Childcare are unable to accept cheque or cash payments under any circumstances.

If a customer’s balance falls into arrears and payment is still outstanding after the due date, we reserve the right to suspend childcare facilities until the balance is settled in full.

Deposits

To secure your child’s place, a deposit payment is required and will be held on your account. Deposits are payable in full at the time of registration and will be calculated as follows:

  • Full-time contract: Custom amount equivalent to two weeks of childcare on your agreed schedule.
  • Term-time only contract: A custom amount equivalent to two weeks of term-time childcare on your agreed schedule.
  • Flexi contract: £150.00 flat fee for all flexi customers.
  • Alsagers Bank Childcare Setting (2024): £50.00 for all available contract types.

Bee Active Childcare will credit the deposit payments against your final balance before the termination of your contract. Any surplus amount remaining will be returned to you via BACS transfer within 3-5 working days of your termination date.

Please note that in the instance of an outstanding balance, we reserve the right to use your deposit for payment and terminate your childcare agreement. Bee Active Childcare will inform you of any outstanding balance on your account in advance and provide you with an opportunity to rectify the situation.

In the instance that your deposit amount is greater than the balance due, any remaining balance will be returned to you. However, if the debt is greater than the deposit amount, the payment will remain outstanding and Bee Active Childcare will seek to recover the unpaid balance from you.

Government funding

Depending on your family circumstances and your child’s age, you may be eligible for help from the government to pay towards the costs of your childcare. Parents agree to adhere to all of the funding requirements in order for the setting to draw down funding from the local authority.

Parents should review their eligibility by looking at the Childcare Choices and the Childcare Calculator online to establish which offers might be best for them, whether they are likely to be eligible and how to apply. Parents should apply well in advance of deadlines and bring in their code as soon as they receive it, along with their National Insurance number and the child’s date of birth/birth certificate.

Parents need to reconfirm their eligibility every three months and also sign a Parent Declaration Form for each term that funding is applied for, which can be supplied by the setting or downloaded from the Staffordshire County Council website. The date for when to do this is in a Parent’s childcare account.

Bee Active Childcare agrees to process codes and applications as soon as possible. For the avoidance of doubt, Parents will be fully liable for all childcare costs in the event of a fraudulent or unsuccessful claim for government funding or where a child is ineligible for funding.

The setting reserves the right to review and amend its policies and procedures regarding government funding at any time, in accordance with changes in legislation or guidance from the local authority or regulatory bodies.

Parents must notify the setting immediately if their circumstances change, which may affect their eligibility for government funding.

The setting will not be held responsible for any delays or errors in the processing of government funding applications that are beyond its control, such as technical issues with the Childcare Choices website or delays in receiving funding from the local authority.

Any government funding received by the setting will be used exclusively for the provision of childcare and related services, in accordance with the funding requirements and guidelines set out by the local authority.

The setting reserves the right to terminate government-funded places in the event of persistent non-attendance or breach of the setting’s policies and procedures.

Please note that the maximum funded hours that can be claimed in any one day is 10 hours.

The setting will provide Parents with regular updates on their child’s attendance and funding status, including any changes or amendments to the funding arrangement.

The setting will comply with all applicable data protection and confidentiality regulations when handling Parents’ personal and financial information in relation to government funding applications.

Please note; we are unable to provide funding to flexi contracts, and funding can only be applied to term time childcare, we do not offer stretched funding.

 

Surcharges

From time to time, we may offer optional activities, events, trips, or workshops that require an additional charge. Bee Active Childcare will always inform you in advance of any surcharges and what they relate to. If you choose to participate, the surcharge will be added to your monthly bill. However, please note that you have the option to opt-out of any activities, events, trips, or workshops that have a surcharge. If you choose to opt-out, your child may potentially miss out on the experience.

Bee Active Childcare wants to ensure that all our children have access to a wide range of experiences and opportunities, and the surcharges help us to cover the additional costs associated with these activities. Please don’t hesitate to speak with us if you have any questions or concerns about surcharges.

Late collection charges

Bee Active Childcare asks that Parents make every effort to arrive on time for pick up, as lateness can cause significant disruption to the routines and wellbeing of both children and staff. It is important to note that persistent lateness can also have a negative impact on the running of our setting, particularly if staff are required to stay late and miss their own family commitments.

In the event that you are late to collect your child, we will apply a late collection fee of £10.00 for every 10 minutes that you are late. Late collection charges will only be applied in blocks of 10 minutes, for example if you are 18 minutes late you would be charged £20.00 (2 x £10.00). Bee Active Childcare understands that unforeseen circumstances can arise however, we request that Parents make every effort to avoid being late.

Late collection fees will be added to your bill as ad-hoc purchases and are to be paid in full within 7 days of receipt of the invoice, usually on the last day of the month. Bee Active Childcare will inform you in advance of any surcharges that may be incurred and the reasons for these.

If we are unable to get in touch with you and you are more than 30 minutes late for pick up, we will follow our escalation procedures, which may include contacting your emergency contacts or local authorities if necessary.

Bee Active Childcare kindly ask that Parents communicate any changes to their pick up plans in advance, using the Famly app or by phone, to avoid any confusion or disruption to the running of our setting. If persistent lateness becomes a concern, we may need to arrange a meeting to discuss the matter and find a solution that works for all parties involved.

Fees and force majeure (unforeseen events)

In the event of a force majeure event, including but not limited to a pandemic or government-mandated shutdown, fees will be reduced to 50% of the normal fee rate where we are unable to open the childcare setting. Bee Active Childcare understands that such events may cause significant disruption and inconvenience, but we must still maintain some level of financial compensation to continue to provide quality care for your child.

In the event of a forced shutdown, such as a pandemic-related closure, we will work with you to provide alternative options for care, such as remote learning or limited on-site care where possible. If such options are not feasible, fees will be reduced to 50% of the normal fee rate.

Bee Active Childcare understands that such circumstances may be difficult for both Parents and providers, and we will work with you to minimise the impact as much as possible. However, please understand that fees are necessary to maintain the quality of care that we provide for your child and to ensure the continued operation of our business.

Sickness and Absence

If your child is sick or absent for any reason, fees will still be due in full. Bee Active Childcare understands that illnesses can be unexpected and disruptive, but we must maintain our financial obligations to continue to provide quality care for your child.

Please note that children must stay away from the setting for 48 hours if they have symptoms of any of the following illnesses: vomiting, diarrhoea, fever, or a contagious illness. Bee Active Childcare reserves the right to refuse entry to any child who exhibits symptoms of illness or is unable to participate in the daily activities due to illness.

If your child becomes ill while at the setting, we will isolate them from other children and notify you immediately to arrange for their pickup. Bee Active Childcare may request that you keep your child at home until they are no longer contagious or have fully recovered. Bee Active Childcare appreciates your cooperation in minimising the spread of illness within the setting.

Please understand that fees are necessary to maintain the quality of care that we provide for your child and to ensure the continued operation of our business. Bee Active Childcare appreciates your understanding in this matter.

Breakfast, lunch, snacks and tea

Bee Active Childcare are pleased to offer a complimentary self-serve breakfast every morning from 8:15am to 8:45am, which usually includes a selection of cereal, toast, yoghurt, and granola to give your child a great start to their day.

At Bee Active Childcare, we understand the importance of a nutritious lunch, and our 4-week rolling cycle menu offers a variety of delicious and healthy options. Lunch is served at 11:30am and is chargeable in addition to childcare fees. To ensure that we can provide the best service possible, we kindly ask that you order lunch at least 24 hours in advance.

In addition to breakfast and lunch, we also provide a complimentary snack around 2:00pm, which typically includes fruit, vegetable sticks, or other finger food to keep your child energised throughout the day.

For those children staying with us for longer hours, we also offer a nutritious light snack tea menu on a 4-week rolling cycle, which is served between 3:45 and  4:15pm. Tea is chargeable in addition to childcare fees, and we kindly request that you order it at least 24 hours in advance.

As part of our commitment to promoting healthy eating habits, we only provide water and milk in line with Ofsted and NHS guidance. Bee Active Childcare recognises the importance of catering for special dietary requirements, so please do not hesitate to inform us of any allergies or dietary needs that your child may have.

Pick up and drop off arrangements

Parents are responsible for ensuring that their child is dropped off and collected from the setting in a timely and safe manner. Bee Active Childcare requests that Parents aim to arrive promptly at the agreed time to allow us to settle all children into their learning and to minimise disruption to the daily routine.

If someone unfamiliar to the setting comes to collect a child, we will not release the child unless we have received prior authorisation from the child’s Parent or guardian. Parents must inform us in advance through the Famly app of any changes to their expected collection time or if someone else will be collecting their child on their behalf.

Parents must ensure that the individual collecting the child is authorised to do so, and must provide us with their full name and relationship to the child. If there is any doubt as to the identity of the individual, we reserve the right to request additional identification before releasing the child.

Parents should ensure that they close the doors securely behind them when entering and exiting the setting and not allow any other Parents into the setting. This is to ensure the safety and security of all children attending the setting.

Bee Active Childcare takes the safety and welfare of all children in our care very seriously, and we appreciate Parents’ cooperation in ensuring that pick-up and drop-off arrangements run smoothly and securely.

Settling in

Bee Active Childcare believes that settling in is a crucial process for all children joining our setting, and we strive to make it as smooth and comfortable as possible for both the child and their family.

Bee Active Childcare understands that every child is unique, and we are committed to ensuring that the settling in programme meets their individual needs.

Therefore, we offer a free settling in programme that will help your child feel confident and happy in their new environment in advance of the start date. The settling in programme is usually composed of three sessions, which can be adapted to suit the needs of your child and family.

The first session lasts for one hour, during which time a Parent can stay for a maximum of 15 minutes at the beginning of the session. Before the session commences, the room leader will complete and discuss the ‘all about me form’ with the Parent.

The second session lasts for two to three hours, and the Parent does not stay. Before or after the session, the room leader will provide a Famly app tutorial to ensure that Parents can stay up-to-date with their child’s development.

The third session lasts for five hours (am or pm session), and the Parent does not stay. Before or after the session, the Parent and room leader will meet to discuss the curriculum areas of learning and topic plan for the term.

To ensure that the settling-in programme is effective, we recommend that you book the sessions as close to their start date as possible, without leaving prolonged periods between each of the sessions. Please do not hesitate to contact us if you have any questions or concerns about the settling in process.

Transition

Transition is when a child moves between rooms of a setting or from one setting to another, such as when children leave to go to school. It is a crucial time in a child’s development, and we believe that it is essential to work together in partnership to support them during this period of change.

Parents agree to work closely with Bee Active Childcare practitioners and others to support transition, within and between settings and between early years settings and primary school. Bee Active Childcare understands that every child is different, and therefore we will tailor our approach to meet their individual needs.

Bee Active Childcare believes that by working in partnership around the key times of transition, we can ensure that children feel supported, valued, and understood, which can help to reduce any anxiety or stress they may experience. Bee Active Childcare will communicate regularly with Parents during these times to keep them informed of their child’s progress and to address any concerns they may have.

We will inform the parents when we feel that their child is ready to move to the next room or phase of learning. We will consider a variety of factors, including the child’s age, developmental stage, social and emotional readiness, and physical abilities. We will work with the parents to determine the best time for the child to transition and will provide support to ensure a smooth transition.

Bee Active Childcare encourages Parents to share any information they may have about their child’s needs and preferences to help us plan for a smooth transition. Bee Active Childcare will also provide information to Parents about the processes and procedures involved in transition and answer any questions they may have.

We may also recommend additional support or resources for the child’s continued development and progress. We encourage open communication with the parents to ensure that we are meeting the child’s individual needs and providing the best possible care and education.

If we feel that the child would benefit from a particular type of care or educational program outside of our services, we may suggest alternatives to the parents. However, the final decision on the child’s care and education remains with the parents.

Communication between Parents and practitioners

At Bee Active Childcare, we believe that working in close partnership with Parents is essential to provide the best possible care and education for children. As such, we take our responsibility to share regular information about children’s continuous development and learning seriously. Bee Active Childcare will communicate with Parents through face-to-face discussions, meetings, and the Famly app to keep them informed of their child’s progress.

In return, we expect Parents to be equally forthcoming with communication and information about their child’s development at home or away from the setting. Bee Active Childcare encourages Parents to speak to their child’s key worker at the earliest opportunity if they have any concerns or questions about their child’s development.

To provide the best possible care for your child, we ask that Parents keep us informed of any changes to their circumstances or information that we need to know about. This information may include changes to cultural beliefs or religious status, health, dietary information, or allergens, as well as the prescription of any regular or temporary medication. Bee Active Childcare also asks to be notified of any medical diagnosis or special educational needs and disabilities (SEND) that may affect their care.

Additionally, it is essential that we are informed of any involvement with other agencies, changes to Parental relationship status, living arrangements, court orders, or other access arrangements that may affect the child’s care. Finally, any recent accidents, incidents, grievances, or bereavement that may have affected the child (physically or emotionally) should also be reported to us promptly.

By working together and sharing information openly and honestly, we can ensure that your child receives the best possible care and education in our setting.

Use of the Famly app

Bee Active Childcare uses the Famly app as an all-in-one solution for communication with Parents about their child’s learning and development, attendance, toileting, incidents and accidents, and other important information. Bee Active Childcare requires Parents to use the app to ensure that communication between them and the setting is effective and timely.

The Famly app is a secure and reliable platform that has been specifically designed for use in early years settings. Bee Active Childcare takes the privacy and security of your personal information very seriously and complies with all relevant data protection laws and regulations.

Bee Active Childcare has a detailed privacy policy that explains how we collect, use, and store your personal information. This policy can be found on our website.

By using the Famly app, we can maintain an accurate record of your child’s attendance, which is important for our compliance and for safeguarding purposes. Bee Active Childcare also uses the app to record any incidents or accidents that may occur while your child is in our care.

All Parents and authorised contacts must have an up-to-date profile photo on the Famly app. This is to ensure that we can verify their identity when they arrive to pick up their child, and to enhance the security of our setting. If a Parent or authorised contact calls us to inform us of changes to their child’s collection arrangements, we may run a security check, such as asking for key information about the child, to validate their identity.

Bee Active Childcare understands that some Parents may have concerns or questions about using the Famly app, but we assure you that your personal information is kept secure and confidential. If you have any questions or concerns about the app, or would like to discuss your privacy and security in more detail, please do not hesitate to speak with the childcare provider or their representative.

Permissions

Parents are able to read and update their permissions regarding media and marketing consent, sun cream, nappy cream, body art, community walks, and other related activities through the Famly app. Bee Active Childcare will always provide advance notice of any upcoming events or activities that require Parental consent or preferences. Parents can update their preferences at any time using the Famly app.

Liabilities

The Parents shall be solely responsible for any and all liabilities that may arise from the care and supervision of their child, including but not limited to any injuries, damages, or losses incurred by the child or any third parties as a result of the child’s behaviour.

Bee Active Childcare shall not be held liable for any such liabilities, unless such liabilities arise directly from the childcare provider’s gross negligence or willful misconduct.

The Parents agree to indemnify and hold harmless Bee Active Childcare from any and all liabilities, including but not limited to any claims, demands, suits, or actions, arising from the care and supervision of their child. The Parents shall be responsible for any and all costs, expenses, damages, or losses incurred by the childcare provider as a result of any such liabilities.

Insurance

Bee Active Childcare shall maintain public liability insurance coverage for the duration of this contract and will provide a copy of their current insurance policy to the Parent upon request. The Parent shall not be responsible for any injury or damage that occurs during the provision of childcare services, except in cases where the injury or damage is caused by the Parent’s own negligence.

Concerns and complaints

Bee Active Childcare encourages Parents to raise any concerns or complaints they may have as soon as possible. If you have any concerns regarding your child’s care, please speak to us at the earliest opportunity. Bee Active Childcare will make every effort to address your concerns promptly and take appropriate action if necessary. If you are not satisfied with the response or the outcome, you may submit a formal complaint to the provider in writing. Bee Active Childcare will investigate the complaint and respond to you in writing within 28 days of receipt of the complaint as per our complaints reporting and handling procedure.

If you are still dissatisfied with the response or outcome of the formal complaint, you may escalate the matter to Ofsted, the regulatory body for childcare providers. Bee Active Childcare will provide you with information on how to contact Ofsted and the steps involved in making a complaint. Please note that Ofsted may contact you for further information or to arrange a visit to the setting. Bee Active Childcare are committed to providing quality care and want to ensure that all Parents feel comfortable and confident in the care their children receive.
